Virtual Reality Adelaide (“we”, “us” or “our”) operates the website at virtualrealityadelaide.com and runs our VR arena in the Adelaide CBD. We are a registered NDIS provider.

Information we collect

  • Contact details: your full name, email address and phone number, which you provide when you book a session or send us an enquiry.
  • Booking details: the session type, date, time and number of players in your group.
  • Payment information: payments are processed by Square. We receive confirmation of the transaction and the last four digits of your card, but we never see or store your full card number or security code.
  • Communications: any messages you send us by phone, email or through our contact form.
  • Technical data: standard information your browser shares automatically, such as your IP address, browser type and the pages you visit. We use this to keep the site secure and working smoothly.

How we use your information

We use your personal information to:

  • Confirm and manage your booking and prepare for your session.
  • Process payments and issue receipts or refunds.
  • Send you booking confirmations and a reminder email before your session.
  • Respond to your questions and provide customer support.
  • Keep our booking calendar and attendance records accurate.
  • Improve our website, sessions and overall service based on how the site is used.

We do not use your personal information to send marketing emails unless you ask us to.

How we store and protect information

Your booking and contact details are stored in our secure cloud database, which uses row level security so that only authorised staff can access your records. All data sent between your browser and our servers is encrypted in transit using HTTPS.

We limit access to personal information to staff who need it to run your booking or respond to your enquiry. While we work hard to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Payment processing

Card payments are handled by Square, our payment provider. Your card details are entered directly into Square’s secure payment form and never pass through or rest on our own servers. Square is responsible for storing and protecting your card data under the Payment Card Industry Data Security Standard.

We keep a record of the transaction amount, the date and the last four digits of your card so we can match payments to bookings and process refunds if needed.

Sharing your information

We only share your information with the following parties, and only as needed:

  • Square: to process your card payment and handle refunds.
  • Email provider: to send you booking confirmations and reminders.

We never sell your personal information. We may disclose it if required by law, such as in response to a lawful request from an authority, or to protect our rights and the safety of our staff and customers.

Cookies and analytics

Our website may use cookies and similar technologies to remember your preferences, keep the site secure and understand how visitors use our pages. You can control or delete cookies through your browser settings. Disabling cookies may affect some features of the website, but you will still be able to make a booking.

Your rights

You have the right to ask us to:

  • Provide access to the personal information we hold about you.
  • Correct any information that is inaccurate or out of date.
  • Delete your personal information, subject to any records we are required to keep.

Data retention

Children

Our sessions are recommended for ages 8 and up. We do not knowingly collect personal information from children under 13 without the involvement of a parent or guardian. If you believe a child has provided us with information, please contact us and we will remove it.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we do, we will update the date at the top of this page. We encourage you to review this page periodically.
